Invite Your Team
Once your company structure is in place, you can create accounts for the people who will use the Console. Each account connects a person to their role, team and working location. It also determines which information they can see and which actions they can take.
An authorised administrator creates staff accounts within the number of users included in your licence. Before adding someone, decide what work they will do in the Console and who will manage their access.
Gather each person’s details
You will need the staff member’s name and work email address to identify them and provide their sign-in details. Add their job title, department and contact number where those details are relevant to your company’s records.
For people involved in production, you may also want to record their skills, responsibilities and hourly rate or running cost. These details can help with assigning work and understanding the resources involved in a job.

Collect staff information more easily
You do not have to gather every staff member’s details manually. Your team can collect information using a consistent form or export existing staff records from another system, then prepare them for import into the Console. This can save time when setting up a larger team across several departments or sites.
An administrator should review the information before accounts are created, particularly email addresses, team and location assignments, hourly rates and permissions. This helps ensure each person starts with the correct details and access.
Place them in your work structure
Assign each person to the appropriate department, team and site. Where useful, you can also associate them with an area or bay within that site.
These assignments reflect how your business operates. A technician might work in a particular production area, while a project manager may oversee work across several areas or sites. Set their usual location and responsibilities accurately so managers can find the right people and distribute work to them.
A person’s working location and their permissions serve different purposes. Their location describes where they work; their permissions determine what they can access.
Choose their permissions
Select the access appropriate to the staff member’s responsibilities. The permission structure agreed during your company setup provides the starting point, while individual accounts place people within it.
For example, a finance team member may need access to transactions, budgets and reports. A salesperson may need customers, prospects and opportunities. A technician may need to receive and update assigned production work. A manager may need a broader view to coordinate several teams.
Some people may need access across the business, but give each person the access their role requires. Review permissions when someone changes job, team or responsibilities.
Set up sign-in details
Create the account and arrange a password or initial sign-in credentials for the staff member according to your company’s sign-in process. Give those details to the intended person through an appropriate private channel, and have them set a password known only to them where that option is available.
Each person should use their own account. Individual sign-ins make it clearer who is responsible for work and allow access to be changed for one person without affecting the rest of the team.
Help them sign in for the first time
Once their account is ready, give the staff member the Console sign-in address and the details they need to access it. Ask them to check their profile information when they first sign in and become familiar with the pages relevant to their role.
Their account will place them within your company’s permission and work structures. That means they can begin seeing the information relevant to their responsibilities and, where authorised, receive tasks, update work and collaborate with their team.
Review access as your team changes
Staff accounts should reflect the way your company works today. When someone moves site, joins another team or takes on a different role, update their assignments and permissions. When a person leaves, remove their access promptly.
Keeping these details current helps work reach the right people and ensures that each team member has an appropriate view of the business.
