Accounts and Team Access
The Console gives each person an account connected to their responsibilities. This helps staff find the work and information relevant to them while allowing managers and administrators to coordinate activity across the business.
Access is shaped by your company’s permissions, departments, teams and working locations. As those details change, an authorised administrator can update an account to reflect the person’s current role.
Understand the different accounts
Account | Who uses it | What it is for |
Master Console account | The person responsible for your company’s initial access | Authenticates company access and supports the initial setup of the workspace. |
Administrator account | Authorised staff who manage part or all of the company setup | Creates and manages staff accounts, assignments and access within the authority given to them. |
Staff account | An individual employee or technician | Lets the person sign in, see relevant information and carry out their assigned work. |
Marketplace account | An eligible business with marketplace access | Provides access to applicable trading activity after the required checks; it is separate from general Console access. |
The number of staff accounts available to your company depends on its licence. Each person should have their own sign-in so work and updates can be attributed to the right individual.
Connect people to their responsibilities
When an account is created, the person can be assigned to a department, team and working location. Their role and permissions determine the areas of the Console they can access and the actions they can take.
A technician may need to see and update assigned production work. A project manager may need to coordinate tasks and review deadlines across a team. Finance staff may work with transactions and budgets, while a sales team may focus on customers and opportunities. Some leaders and administrators may need a broader view.
A person’s team and location describe where they fit into your operation. Their permissions determine what they are allowed to see and do. Both should be reviewed when someone takes on a new responsibility.
Get work to the right people
When work is assigned, the Console makes it available to the people responsible for it. A task may be directed to an individual technician, a team or a manager who needs to coordinate the next stage.
This helps staff focus on the work they need to carry out while giving managers a view of assignments and progress. The quality of those assignments depends on keeping staff roles, teams and locations up to date.
Share decisions and sign-offs
Not every person involved in a job has the same responsibility. One person may carry out the work, another may review it, and an authorised person may need to approve or sign off a stage before it moves forward.
The Console helps make these responsibilities visible to the appropriate people. When setting up your team, consider who should be able to create work, who should receive it, who should review it and who has authority to approve it. This is particularly useful when work crosses departments or locations.
Stay informed through notifications
Notifications draw attention to activity that may need a person’s review or action. Depending on their role and the areas they use, staff may receive updates about:

Changes to work | An update to work they are involved in, such as a change in status or timing. |
Reviews and sign-offs | An item waiting for their decision or confirmation. |
Messages and collaboration | Communication relevant to their work. |
Deadlines and exceptions | Work that is approaching a deadline or needs attention because something has changed. |
The notifications a person sees depend on their access and involvement. Encourage team members to review them regularly, then open the relevant work to see the full context before taking action.
Keep access current
Review accounts when people join, move teams, change location or take on new responsibilities. Check both their permissions and their work assignments: a person may have access to an area but still need to be placed in the correct team to receive the right work.
When someone leaves your company, remove their access promptly and make sure any outstanding responsibilities are reassigned. Keeping accounts current helps the Console show the right work to the right people and keeps decisions with those authorised to make them.
