Customers and Business Relationships


The Console gives your team a shared place to manage the businesses and people you work with. Customer, supplier and partner records help staff find the right contact, understand the relationship and keep related work together.


Start with the information your team uses regularly. You can add records individually, bring in existing information through CSV files, or discuss a custom API integration if your business needs an ongoing connection with another system.


Understand your relationships

A business may have a different role depending on how you work with it. A customer buys from you, a supplier provides goods or services, and a partner may collaborate with you on an opportunity or project.


Keep the business record separate from the people who work there. A company may have several contacts for purchasing, technical questions, accounts or delivery. Linking those people to the right business helps your team reach the appropriate person.

Business

Name, addresses, contact details and its relationship with your company.

Contact

Name, role, work email, phone number and the business they represent.

Relationship details

The people responsible, relevant notes and information your team needs when working together.

Add a customer

Before creating a customer, search for the business to check whether a record already exists. If you find one, review and update it instead of creating a duplicate.


For a new customer, enter its name and the confirmed details your team needs. Add the people you speak to and identify their roles. You can build out the record as the relationship develops, rather than waiting until you know every detail.


A clear customer record helps sales, projects, production and finance staff work with consistent information when their responsibilities involve that customer.


Add suppliers and partners

Use the same approach for suppliers and other businesses you work with. Record what the business provides or how you collaborate, along with the contacts your staff may need to reach.


A supplier might have one contact for orders and another for accounts. A partner might have separate commercial and technical contacts. Keeping those distinctions clear makes communication easier when work moves between teams.


Keep relationships connected to work

As your team uses the Console, business and contact records can provide context for opportunities, projects, documents, transactions and communication. Staff can see who a piece of work involves and find the relevant details without searching through separate lists.


Only add information your team is authorised to use, and keep notes clear enough that another colleague can understand them. Review contact details when a person changes role or leaves a business.


Bring in existing records

If you already maintain customers and contacts in another platform, you may be able to export them as a CSV file and import them through Data Studio. CSV stands for comma-separated values. It is a common format for moving rows of information between systems.

During import, match the columns in your file to the corresponding Console fields. A small example might look like this:

Company Name,Relationship,Contact Name,Contact Email
Example Components Ltd,Customer,Alex Morgan,alex@example.com
Northside Materials Ltd,Supplier,Sam Taylor,sam@example.com

The example shows the kind of information a CSV can contain; use the field mapping shown in Data Studio for your actual import. Check a sample of the records afterwards, particularly company names, contact links and addresses.


You can also export business information as CSV when you need a copy for an authorised business purpose.


Connect an existing system

If your team needs customer or relationship information to move between the Console and an existing application on an ongoing basis, ask us about a custom API integration. We can review the systems involved, the information you want to share and how frequently it needs to be updated before defining the work required.


A CSV import is useful for an initial transfer or occasional updates. A custom integration may suit a business that needs a continuing connection.


Maintain a reliable shared record

Business relationships change. New contacts join, addresses move and responsibilities shift. Update the relevant record when you learn of a change so the next person working with that business has current information.


The aim is simple: when your team needs to contact a business, prepare a document or understand who is involved in a job, they can begin with a record they trust.
